FieldChief ("we," "us," "our") provides an AI-powered field service management platform. This policy describes how we collect, use, store, and protect information when you use our services, visit our website at fieldchief.ai, or communicate with us.
2. Information We Collect
Account Information
When you sign up, we collect your name, email address, business name, and phone number. If you connect a Telegram bot, we store the bot token you provide.
Business Data
Data you create through the platform: clients, quotes, invoices, jobs, time entries, payments, accounting records, photos, and related documents. This data is stored in a dedicated database isolated to your account.
Customer Communication Data
When your customers interact via SMS or Telegram, we store message content, phone numbers, and conversation history to provide AI-powered responses and maintain context.
Usage Data
We log AI agent usage (token counts, model used, estimated cost) for billing purposes. We collect basic analytics on website visits (page views, referrer).
Photos and Files
Job photos, quote line item photos, and any documents you upload are stored in cloud object storage associated with your account.
3. How We Use Your Information
- To provide and operate the FieldChief platform
- To send quotes, invoices, appointment reminders, and other business communications to your customers on your behalf via SMS
- To power AI agent conversations (your messages are processed by third-party AI providers to generate responses)
- To calculate and bill your usage
- To maintain audit logs for your business records
- To improve our service and fix bugs
- To communicate with you about your account, updates, and support
4. Third-Party Services
We use the following third-party services to operate FieldChief:
- Cloudflare — hosting, database, file storage, and edge computing
- Anthropic (Claude) — AI language model for agent conversations
- Sinch — SMS message delivery
- Telegram — messaging platform for contractor interface
Each of these providers has their own privacy policies. We only share the minimum data necessary for each service to function (e.g., phone numbers and message content for SMS delivery).
5. Data Isolation
Each FieldChief customer gets a dedicated, isolated database. Your business data is never commingled with another customer's data. We do not use your business data to train AI models.
6. Data Retention
We retain your data for as long as your account is active. If you close your account, we will delete your data within 30 days, except where we are required by law to retain it (e.g., billing records). Conversation history is automatically trimmed to the most recent messages per session.
7. Your Rights
You can:
- Export all of your business data at any time
- Request deletion of your account and all associated data
- Update or correct your personal information
- Opt out of non-essential communications

8. Cookies
Our marketing website uses minimal cookies for basic analytics. The FieldChief platform itself uses session cookies for authentication. We do not use advertising cookies or tracking pixels.
9. Children's Privacy
FieldChief is a business tool and is not directed at children under 18. We do not knowingly collect information from minors.
10. Changes to This Policy
We may update this policy from time to time. We will notify you of material changes by email or through the platform. Continued use after changes constitutes acceptance.
